What is an AI voice agent?
An AI voice agent is software that holds a real spoken conversation with a customer: it listens, understands what they mean, replies in a natural voice and completes specific tasks such as taking an order or recording a booking.
You will also hear it called an AI phone agent. Instead of pressing numbers through a menu, the caller says what they want. Unlike older phone systems, it follows no fixed path: it understands the sentence as said and asks a follow-up when something is missing.
It does not know everything. A well-built agent answers from the business’s own data, such as the menu, hours, delivery zones and free slots. Better data means better answers.
How does an AI voice agent work, step by step?
A voice agent runs a three-stage loop for every turn of the conversation: speech recognition, then a language model that decides what to do and calls tools, then speech synthesis.
- Speech recognition turns the caller’s voice into text while they are still speaking, not only after they stop.
- The language model reads that text and decides what is needed. If the caller asks about a dish or a time slot, it calls a tool that fetches the correct answer from the business’s systems instead of guessing.
- Speech synthesis speaks the reply in a natural voice, usually starting playback before the whole sentence is generated so the caller is not left waiting.
| Component | Role in the call | Example provider |
|---|---|---|
| Speech recognition | Turns the caller’s voice into text in real time | Deepgram |
| Language model | Understands intent, chooses the reply and the right tool | OpenAI models, with a fallback model |
| Tools | Fetch prices and slots, place orders in the business’s systems | Restaurant menu, booking system, Odoo |
| Speech synthesis | Speaks the reply in a configured voice and dialect | ElevenLabs |
| Turn-taking | Detects when the caller has finished or has cut in | Part of the real-time voice platform |
Turn-taking and interruptions
The agent has to judge when the caller has actually finished, not just paused to think. When the caller cuts in with “no, not that one,” it should stop at once, listen, and answer the correction. Handling this barge-in is what makes a call feel like a conversation rather than a recording.
Latency
Latency is the gap between the caller finishing and the agent speaking. It adds up recognition time, the model’s time to first words, audio generation, and any tool call. Good systems stream at every stage and load likely information, such as the business’s profile card, before the call begins.
What can an AI voice agent do for a business?
A voice agent takes on the repetitive calls that eat up staff time: answering questions, taking orders, handling bookings and following up.
- Answer common questions: opening hours, address, delivery areas, what is in a dish.
- Take orders: collect items and extras, get the price from the menu tool, and read the order back before sending it.
- Handle bookings: check whether a table or slot is free, then record or cancel the booking within the owner’s rules.
- Follow up: log callback requests and alert the team when something needs a human.
Here is a short ordering call. Notice the caller changing their mind, and the read-back before confirmation:
CallerHi, I’d like to place an order, please.
AgentOf course! What can I get you?
CallerTwo chicken shawarmas and a Pepsi… actually, make that a 7UP.
AgentGot it, two chicken shawarmas and a 7UP. Delivery or pickup?
CallerDelivery to Khalda.
AgentKhalda is in our delivery area. So that’s two chicken shawarmas and a 7UP, delivered to Khalda. Shall I confirm it?
CallerYes, go ahead.
AgentDone, the restaurant has your order. Thanks!
Used this way, it works as an AI receptionist for rush hours and after closing.
How is a voice agent different from IVR and chatbots?
IVR routes callers through a fixed menu of numbered options, and a chatbot works with typed messages. A voice agent understands free speech, talks back and completes tasks within the same call.
A voice agent and a chatbot may share a language model, but voice adds noise, interruptions and the need to answer quickly. Our article on voice agents versus IVR versus chatbots covers the full comparison.
Can an AI voice agent understand Arabic and its dialects?
Yes, a modern voice agent can understand Arabic and reply in a local dialect, but Arabic is harder than many languages for reasons a business owner should know before starting.
- Dialect variety: the same word can sound and be used differently in Amman, Riyadh and Beirut, and recognition models are not equally strong in every dialect.
- Code-switching: a caller might say the Arabic for “I want one” followed by “chicken burger with extra cheese” in English, and the system has to follow the whole sentence across both languages.
- Names and menu items: house dish names, family names and neighbourhood names are easy to mishear or mispronounce unless the agent is taught them.
Good systems use a per-agent dialect setting, a pronunciation list, and explicit confirmation of addresses and phone numbers. Sara, the voice agent built by ABRAJRUM, lets each agent be set to Syrian, Lebanese, Jordanian, Palestinian or Saudi Arabic, and includes a coach for correcting answers and item pronunciation.
What makes an AI voice agent safe for a business?
A safe agent answers from real data through tools, confirms every action with the customer before carrying it out, and knows when to hand over to a person.
- Grounded answers: the agent never states a price or time slot that a tool did not return. If the information is not available, it says so instead of inventing it.
- Read-back and explicit confirmation: it reads the full order or booking back and waits for a clear yes. A vague murmur or silence is not consent.
- Escalation to a person: for complaints, unusual requests, or when the caller asks for a human, the agent alerts the team and logs the request.
- Clear permissions: the owner decides what the agent may do, such as cancelling bookings or accepting scheduled orders.
How do you get started with an AI voice agent?
Start by preparing the data the agent will rely on, then decide which tasks it should handle and which should stay with your team.
| What to prepare | Why it matters |
|---|---|
| An up-to-date menu with prices and extras | The agent will not quote a price the menu does not contain |
| Opening hours, address, delivery zones and fees | These are the most frequent questions on any call |
| Booking rules: capacity, slots, cancellation policy | So bookings stay within your limits |
| A contact for cases that need a human | So alerts reach the right person |
| House item names and how to pronounce them | To reduce misheard and mispronounced items |
| Preferred dialect and tone of voice | So the agent sounds like your business |
Then test it with conversations that mimic your real customers, accents, mistakes and interruptions included, and review the transcripts before opening it to real calls. You can also book a demo to see Sara on a sample restaurant’s data.
Common questions
Will an AI voice agent replace my receptionist?
More realistically, it takes the repetitive calls and eases pressure at peak times and after hours, while your team keeps the cases that need human judgement, such as complaints and unusual requests.
What happens when the agent does not understand the caller?
It asks them to repeat or asks a specific clarifying question. If the misunderstanding persists, it alerts the team and logs the request rather than acting on something unconfirmed.
Can the agent make up a price or a fact?
That is a real risk with language models, which is why a well-built agent only states prices or times that a tool returned from the business’s systems, and otherwise admits it does not have the information.
How much does a voice agent cost to run?
Cost depends on call minutes, the providers used for recognition, reasoning and voice, the phone line, and how much customisation you need. That is why pricing is worked out from each business’s actual usage.
Can it run on my restaurant’s existing phone number?
Technically, a voice agent can be connected to a phone line over SIP, depending on your telecom provider. Sara’s phone connection is still being qualified, and we do not yet claim a documented live deployment on a carrier.
